2. Candidates’ Responsibilities When Applying for a Position:
When applying for a position at QuaDigi, we expect candidates to:
• Provide accurate, complete, and truthful personal data throughout the recruitment process.
• Submit only the personal data necessary to evaluate their competence, qualifications, and suitability for the position.
• Respect the confidentiality of any information, materials, or processes disclosed to them during the recruitment process.
• Avoid submitting personal data relating to third parties, unless such disclosure is lawful and any required consent has been obtained.
3. Personal Data and Their Sources
Personal data processed by the Company:
• Name and surname.
• E-mail address and telephone number.
• Education, qualifications, and professional certifications.
• Current and previous employment details.
• Information about professional skills, competencies, and characteristics relevant to the position.
• Any additional information voluntarily provided by the candidate in the CV, motivation letter, application forms, recommendations, or other documents.
• Information collected during job interviews, including interview notes and assessments.
• The Company’s evaluation or conclusion regarding the candidate’s suitability for the position.
The sources of data acquisition are candidate’s resume (CV) and/or motivational letter, and other documents submitted during the application process (recommendations, etc.). The Company may also receive candidate’s data from legal entities providing job search, selection, and/or mediation services, e.g. from the Employment Service of the Republic of Lithuania, employment agencies, job search websites, and specialized career social networks, e.g. Linkedin.
The Company, having informed candidate in advance, may collect his/her personal data related to qualifications, professional abilities, and professional qualities from former employer. The Company collects the indicated data from the current or former employer only with candidate’s consent which is stored in Company’s internal system.
4. Mandatory Submission of Data and Consequences of Non-Submission
The Company requests to provide only information directly related to candidates competence, qualifications, skills, professional and work experience, which can help better evaluate working qualities and career opportunities. It is not required to provide personal information that is not significant for the evaluation (political views, religion, nationality, address, social security code, health status, etc.). The Company does not collect and store such additional data.
Data about candidates’ health during the selection process will be collected and processed only on the basis established by law to assess work capacity and/or ability to work in occupational risk conditions. Health data will only be collected before a specific job offer is made.
5. Purposes and Legal Basis of Data Processing
The Company processes candidate personal data for the purpose of taking steps at the request of the candidate prior to entering into an employment contract and, where applicable, on the basis of the Company’s legitimate interest in managing and documenting the recruitment process. Candidate consent is relied upon only where required by law or where the data is retained for future recruitment opportunities.
If the Company receives information about a candidate from legal entities providing job search, selection and/or mediation services, such entities are responsible for providing the candidate with the information required by applicable data protection laws regarding the processing and transfer of personal data to potential employers, including Quadigi.
If the Company receives information about a suitable candidate through a recommendation process, the recommending party must ensure that the candidate has been informed accordingly and, where required, that a valid legal basis exists before the candidate’s personal data is shared with the Company.
The Company processes candidate’s data for the following purposes:
• To assess suitability for the position candidate is applying for and for employment.
• To manage communication and organization of the recruitment process.
• To perform necessary pre-contractual steps before hiring.
• To offer to participate in other selections conducted by the Company for similar positions in the Company.
6. Candidate’s Rights
Candidate have the right:
• To be informed about the processing of their personal data.
• To request access to their personal data processed by the Company, including information about the categories of personal data processed, the sources from which the personal data was obtained, the purposes and legal bases of the processing, and the recipients to whom the personal data is disclosed.
• To request the rectification of inaccurate, incomplete, or incorrect personal data relating to them.
• To request the erasure of their personal data where the conditions set out in applicable data protection laws are met.
• To request the restriction of the processing of their personal data in the cases provided for by applicable law.
• To receive the personal data concerning them in a structured, commonly used, and machine-readable format and, where applicable, to request the transmission of such data to another controller, where the right to data portability applies.
• To object to the processing of their personal data.
• Not to be subject to a decision based solely on automated processing, including profiling, which produces legal effects concerning them or similarly significantly affects them, unless otherwise permitted by applicable law.
Where the processing of personal data is based on consent, candidates also have the right to withdraw their consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before such withdrawal. If a candidate withdraws consent to the retention of their personal data for future recruitment processes, the Company will no longer retain their personal data for that purpose and will not be able to consider the candidate for future job opportunities on that basis.
Candidates may exercise their rights by contacting the Company via email: dataprivacy@quadigi.com. The Company will respond to such requests without undue delay but not later than one month of receipt of the request, in accordance with applicable law.
7. Data Retention Period
Personal data processed for employee selection and recruitment, subject to candidates consent, are stored for no longer than 5 (five) years from the end of the selection for a specific position. In the absence of the consent for further processing of personal data, the data is stored no longer than 1 month from the end of the selection for a specific workplace. After these deadlines, data subjects data is destroyed.
8. Transfer of Data to Third Parties
The Company can transfer candidate’s personal data for processing only to the following third parties:
• To state institutions or law enforcement agencies, if the data is required on a legal basis provided by law.
• Company-related Draeger Group companies operating inside and outside the EU/EEA, for purposes clearly defined in agreement, by implementing appropriate safeguards, which, among other things, enable the exercise of the data subject's rights and effective remedies for the data subject's rights.
9. Processing of Requests and Complaints
Candidate has the right to submit requests related to his/her rights specified in this policy, as well as demands and complaints regarding illegal processing of personal data or a possible violation of his/her rights, to the Company at Ukmerges st. 322-1, LT-12106, Vilnius, Republic of Lithuania, by e-mail data dataprivacy@quadigi.com. Candidate also has the right to submit complaints to the State Data Protection Inspectorate, L. Sapiegos str. 17, Vilnius.
This privacy notice may be changed, supplemented and updated at the discretion of the Company. The current version of the candidate privacy notice is published publicly on the Company's website at www.quadigi.com.
